Too much treacle holdding back expansion for xonophiles/democracies

I am getting frustrated by my game getting endlessly extended by expansion problems caused mainly by three rules:

1. Inability to integrate protectorates
2. Inability to vasselize while at war
3. -500 penatly to vasselize from distance

These rules in current form are creating treacle that makes expansion too difficult a lot of the time, too many things can go wrong, leading to endless repetitions of wars against the same enemies you've already defeated several times and yet made no real progress against.

This treacle is extending an already long game aritificially.

1 - Thats normal, you can't annex protectorates in EU4 neither Stellaris, you have to wait.
2 - Which are your ethos? I just won a Xenophile game yesterday and I could vassalize a lot.
3 - You mean diplomaticaly?

The combination is oddly good at conquering things outright, through Cede Planet, with little unrest.

Unhappiness from ethics divergence is lower, and Visitor Center cancels a lot of the Xenophobia and Alien Overlords happiness malus, into something more manageable!

Some supressing has to be done every now and then, but it's not that costly in influence. Your fleet is a little bigger from all the extra credits at the stock exchange and ethics, and I often go with "Encourage Free Thought" always on, as divergence is mostly harmless. Gives a bit of an edge in technology!

The only major slow-down from systematic conquest by then will be being at truce with everyone in the galaxy, but if declaring war in the right order by keeping an eye out for independence guarantees, that can be avoided.

2. Inability to vasselize while at war

Is 100% unrelated to Xenophile and Individualist (democracy) ethics.
Whether you can force-vassalize people exclusively depends on your War Law setting, which in turn is only limited for the Pacifist ethics.
In which case, go figure, you can't warmonger whilst pretending to be a Pacifist.

3. -500 penatly to vasselize from distance
That's a system thing, it starts at -500 default and updates only at the end of each month. Just wait a month and try again.
Unless you ARE literally on the other side of the universe (even then I usually only get -250ish top), in which case that's a very good reason not to accept your 'protection'.

They actually do, albeit not for the reasons you mentioned.
But that is a topic already discussed more properly in SEVERAL other threads.

according the case you try to vassalize right next to your borders

then, 3. in most cases, the -500 distance penalty vanish, i had seen this a lot, liberating some planets and right after the war it was not possible to vassalize due the -500 distance, if the overall is lesser then -500 just wait for the next month, the -500 vanish and you can vassallize

I disagree, all this diplomacy stuff they will rework after Banks comes out. Which is a very good idea and about time. Systems like diplomacy and armies desperately need reworks which PDX admits to. I'm not clamoring for fancy bells and whistles, just something intuitive. Typing this right now I still have no idea how you can win as a xenophile. I've tried annexing protectorates and vassals and I've been barred every time I try to do it peacefully. No indication from the game on how I have to go about doing that. Also, you can't unite federations yet so untill that's fleshed out you can't compete against pure military play throughs.
